You will be supported by a team manager as you deliver the day-to-day service provided by the facilities and reception team, ensuring our office is maintained to a high standard. As a key holder you will be opening up the office on a daily basis, providing reception cover to the receptionists and conducting basic checks and maintenance on IT equipment in the office. 

This is a varied role and requires someone who can roll their sleeves up and prioritise tasks using their great problem-solving and practical skills.

Salary: £24,800 per annum.

Contract: Permanent.

Location: Hybrid. Our Hybrid Working Arrangement gives choice about how, when and where each member of our team works best. Contractually this role is London-based but this will be a mixture of working from the office, on the move or from home in a way that balances the needs of Hospice UK, your team and you.  

Working hours: Full time; 35 hours per week; Monday to Friday, 07:30 - 15:30.

Benefits: Up to 7% pension contribution, membership to the Simplyhealth cash plan, Life assurance, 25 days holiday in the first year increasing with length of service to 30 days.

This is a great opportunity to work as the facilities assistant in an interesting and varied role at a national charity.

Reporting to the Office Manager, you will work closely together to ensure the smooth day-to-day running of the Facilities function. Duties and responsibilities will include:

  • Managing relationships with external contractors
  • Ensuring that a programme of statutory building checks is in place and carried out as required (emergency exits, water tap runs, smoke detectors, fire alarm & disabled toilets alarm tests, emergency lighting, water temperature and shower run & descale and supporting compliance with relevant statutory and regulatory standards
  • Organising periodic in-house health and safety checks (fire extinguishers, visual appliances checks and testing, etc.)
  • Overseeing the upkeep of the heating and air conditioning system
  • Completing daily checks of IT equipment in the office and carrying out basic IT trouble-shooting issues
  • Safely moving furniture and IT equipment as needed
  • Receiving and taking large deliveries to appropriate storage areas
  • Taking archiving materials/documents to outside storage facilities
  • Managing our basement car park storage area
  • Supporting the environmentally sound disposal of old equipment and office waste

 

About You

You will have gained basic experience in a facilities role in an office environment or a similar role and have good knowledge of Health & Safety legislation and checks.  Our ideal candidate will have a good understanding of heating, hot water and air conditioning systems as well maintaining facilities contracts.

You will need basic administration skills with accurate record keeping and a good working knowledge of Microsoft Office, including Outlook, Word and Excel. In addition we would like to find a confident 'people person' who can build strong relationships with contractors and colleagues.

You will need:

  • some reception experience with a flexible approach to work (extra training will be provided)
  • Good interpersonal skills with a professional attitude
  • Ability to work proactively and deliver excellent customer service
  • Good written and verbal communication skills
  • To act as a Fire Marshall and First Aider (extra training will be provided)

You will join a small, happy and collaborative facilities and reception team that supports staff, visitors and contractors alike.
